1. Roles of Parties
Häme University of Applied Sciences (HAMK UAS) in Finland is the main organizer of Staff Week Savotta and is responsible for providing the programme, core content, and associated services, including specified meals and transportation to certain venues. HAMK UAS will inform participants of the policies, rules, and instructions that must be followed during the staff week.
Participants are responsible for their own registration, preparations, travel arrangements, accommodation, and any other expenses incurred during participation. Participants are encouraged to report any safety, privacy, wellbeing, or other concerns immediately.
2. Registration
To participate in Staff Week Savotta, one must complete and submit the registration form, agree to these terms and conditions, and commit to paying the registration fee.
Registration period opens 19.5.2025 and ends 2.3.2026. HAMK reserves the right to accept late registration if there are places available after the registration period is over. Possible late registrations will have a +10% increase in registration fee.
Upon registration, the participant will be added to the participants’ roster, which is limited to 50 places and filled in chronological order.
If the participants’ roster becomes full, a waiting list will be opened. If a confirmed participant cancels, individuals from the waiting list will be moved up in order of registration.
All participant data will be processed according to the HAMK’s privacy notice on Processing personal data when organising events, which you can read at HAMK website (link).
HAMK UAS reserves the right to cancel any registration or waiting list position if payment or other terms and conditions are not met.
3. Payment Terms
The registration fee includes the programme and social events (subject to change). Dietary accommodations are provided free of charge. The participation fee is VAT 0%, in accordance with the Finnish VAT Act, Section 5a(1).
Registration fees:
- Standard registration fee: 600 €
- Early Bird fee: 540 € (–10%), valid until 31.1.2026
- Late registration fee: 660 € (+10%), valid from 2.3.2026 (if applicable)
All registration fees must be paid in full no later than 31 days before the event begins, by 17.4.2026.
Accepted payment methods include Mastercard and Visa via the HAMK Webshop. A payment link will be provided once registration is confirmed. Optional invoicing is also available.
4. Cancellation and Refunds
A registered participant may cancel their registration at any time. Cancellation becomes effective upon request, and the participant will lose their reserved place in Staff Week Savotta.
Participants may re-register later, but their position on the list will be reset, and the applicable fee will be based on the new registration date.
Refund policy:
- Cancellation by 4.2.2026 or before the invoice is due: full refund
- Cancellation between 5.2.2026 and 17.4.2026: 50% refund
- Cancellation after 18.4.2026: no refund
The fee will be refunded to the invoiced party.
An unpaid or overdue invoice is considered a cancellation until payment is received.
5. Curtailment of Staff Week
If a participant needs to arrive late, fails to participate any session(s), or leave early, no refund will be issued. Certificates of participation will only be provided for actual attendance.
6. Force Majeure and Liability
HAMK UAS is not liable for failure to fulfill its obligations due to events beyond its control that could not have been avoided despite reasonable efforts. These include, but are not limited to, natural disasters (e.g. heavy snowfall, strong winds, volcanic eruptions), strikes, government actions, terrorism, civil unrest, warfare, pandemics, or disruptions in essential services.
No refunds will be issued under Force Majeure circumstances. HAMK UAS is not responsible for any loss, damage, or injury resulting from such events.
Travel insurance is strongly recommended.
7. Communication
HAMK will use the contact information provided by the participant in accordance with the permissions granted in the registration form. HAMK reserves the right to use this contact information to attempt to reach the participant in the event of an emergency, force majeure, or other urgent situation where the participant would benefit from the communication.
The Staff Week Savotta will have a dedicated event mobile application, Secapp, provided free of charge by Secapp Oy of Finland. While installing and using the Secapp application is voluntary, HAMK strongly recommends it, as it will be used for all daily communication and also as an emergency channel, if needed. HAMK accepts no liability for any failure in the installation, use, or removal of the Secapp application, or for any damages, losses, or other consequences resulting from such failures that are beyond its control and could not have been avoided despite reasonable efforts. This includes, but is not limited to, data loss, device malfunction, or settings reset.
HAMK reserves the right to take photographs, record video and audio, and collect other digital material during the Staff Week Savotta, excluding copyrighted or private content, for use in HAMK’s promotion, education and documentation, whether edited or unedited. Participants have the right to refuse all use of material that includes their image or voice.
8. Special Conditions
The programme includes outdoor activities, and weather conditions may vary. Participants are responsible for ensuring they are physically able to take part in light hiking, walking, and climbing stairs, and for bringing weather-appropriate clothing and sturdy footwear.
Some venues may be difficult to access for those with mobility limitations. Remote participation is not available.
Certain locations may have limited mobile network or internet access.
Participants are expected to follow HAMK UAS’s code of conduct and the principles of a safer space.
HAMK UAS reserves the right to update or amend these terms and conditions. Any changes will be communicated to registered participants.
